Agenda

0:00–0:05 — Welcome and Introductions (5 min)

• Coach introduces themselves: name, background, coaching philosophy
• Assistant coaches introduce themselves
• Have parents briefly introduce themselves (for small groups <20)

0:05–0:15 — Program Overview (10 min)

• Season dates, schedule overview
• Tournament/championship dates
• Typical practice format and length
• Playing time philosophy (explain your approach clearly here)

0:15–0:25 — Team Expectations (10 min)

For players:

• Attendance policy
• Effort and attitude expectations
• Uniform and equipment requirements

For parents:

• Sideline behavior expectations
• How to communicate with coaches (and when)
• Travel/away game policies and responsibilities

0:25–0:35 — Communication Plan (10 min)

• Primary communication channel (The Squad app, email, text group)
• Response time expectations
• Game day communication timeline (48-hour reminders, etc.)
• How to handle emergencies or urgent situations

0:35–0:45 — Volunteer Needs (10 min)

• Roles available: team manager, scorekeeper, snack coordinator, etc.
• Background check requirement explanation
• Sign-up sheet

0:45–0:55 — Questions and Concerns (10 min)

• Open floor for questions
• Address common concerns proactively (playing time, conflicts, etc.)

0:55–1:00 — Closing (5 min)

• Thank parents for their time
• Remind them to download [The Squad / team app]
• Give out written materials
• Announce first practice date

Coaching Tips for the Meeting

The first parent meeting sets the entire tone. Confident, organized, and warm.

1. Start and end on time — this signals respect for everyone’s time
2. Have written materials. Parents trust coaches who are prepared.
3. Address playing time philosophy proactively — don’t wait for the question
4. Never speak negatively about other coaches, teams, or officials
