Long lines at check-in, insufficient restrooms, poor parking flow, and inadequate medical coverage create negative participant experiences that damage your tournament's reputation regardless of everything else you got right.
Venue planning is the foundation of tournament operations. This checklist covers the critical elements to address months before game day.
4–6 Months Before the Tournament
Venue Selection and Contract:
- [ ] Inspect the facility in person — playing surfaces, lighting, restrooms, parking
- [ ] Verify capacity for your expected participant and spectator count
- [ ] Negotiate and sign a venue contract with clear terms on setup/teardown times, exclusivity, cost, and cancellation
- [ ] Confirm insurance requirements and obtain appropriate event insurance
- [ ] Clarify catering/concessions rights (many venues have exclusive contracts)
- [ ] Identify backup fields/courts in case of weather or facility issues
- [ ] Understand alcohol policy, noise restrictions, and curfew
Permits and Compliance:
