Awards Are Part of Your Tournament Brand
Athletes remember the trophy. Parents photograph the medal. The quality, timeliness, and presentation of your awards communicates the quality of your entire tournament.
Running out of medals, handing out bent trophies, or fumbling through an unprepared ceremony turns a competitive success into a logistical embarrassment.
Planning: How Many Awards Do You Need?
Calculate per division:
- Champion: 1 team trophy/banner + medals for each player + coaches
- Runner-up: 1 team trophy + medals for each player + coaches
- 3rd place (if awarded): same as runner-up
- Individual awards (MVP, top scorer, sportsmanship): per division if applicable
Add a buffer: Order 10–15% more medals than your maximum roster count. Athletes get added, coaches bring assistants, you forget about team managers. Running short is worse than having extras.
Confirm player counts: Use your registration rosters, not estimates. Confirm 2–3 weeks before the event so there's time to reorder if needed.
Ordering Timeline
| Timeframe | Action |
|---|---|
| 8–10 weeks before | Confirm award vendor, design, and quantities |
| 6–8 weeks before | Place order |
| 2–3 weeks before | Confirm shipping and delivery date |
| 1 week before | Inspect received order for damage or errors |
| Day before | Sort and stage awards by division |
Never rely on rush orders for primary awards. Vendors miss deadlines. Shipping delays happen. Order early.
What to Order
Trophies: Team trophies for champion and runner-up. Size/quality should reflect tournament prestige and budget. Consider a permanent trophy that stays at the venue with the champion's name engraved each year.
Medals: Individual awards for all participants in championship and runner-up. For larger tournaments, all-participant participation medals are common.
Sportsmanship/MVP: Typically individual trophies or distinctive medals rather than standard placement medals.
Banners: Championship banner for the winning team's facility or display — a lasting keepsake that elevates the prestige of winning your tournament.
Storage and Transport
- Store awards in their original packaging until ceremony day
- Keep in a secure location (not accessible to public during the tournament)
- Transport in a vehicle where they won't shift or get damaged
- Designate one person as "awards manager" responsible for all award logistics
Ceremony Staging
The night before or morning of:
- Sort awards by division and placement
- Label each group clearly
- Stage them in reverse presentation order (3rd place in front, champions behind)
- Designate a person to hand awards to the presenter one at a time
At the ceremony, smooth presentation requires that awards are immediately accessible, correctly ordered, and handed off without delay. The awards manager makes this possible.
Post-Tournament Award Distribution
For participants who can't stay for the ceremony (early games, long travel):
- Have a post-ceremony pickup window at the information desk
- Contact coaches with unclaimed awards within 48 hours
- Mail remaining unclaimed awards within 2 weeks
