Why Game Day Messages Get Ignored
Too long. Too frequent. Buried in a wall of text with the key information hidden in paragraph 3. Game day announcements fail the same way every time.
Parents and athletes are busy. They skim. They need the critical information in 10 seconds or they'll ask you in person — on game day, at the worst possible time.
The Essential Game Day Template
Subject line formula: [Date] Game Info - [Sport] [Division] — [Time] @ [Location]
Example: "Sat 6/14 Game Info - Soccer U12 — 10:00am @ Riverside Park Field 3"
Body (bullets only, max 8 bullets):
- When: Saturday June 14, arrive by 9:15am, game starts 10:00am
- Where: Riverside Park, Field 3 (map: [link])
- Parking: Lot A off Main Street, additional street parking on Oak Ave
- Uniform: White jerseys, black shorts
- Bring: Water, shin guards, cleats, snack for halftime
- Weather: If game is cancelled due to weather, text notification by 7:00am
- Questions: Text Coach [Name] at [number] before 8:00am
That's it. Everything they need, nothing they don't.
Timing
Send the game day announcement 3–4 days before the game. Not the morning of — families have already made conflicting plans. Not 10 days out — they'll forget.
For critical last-minute changes (field change, cancellation): text only, not email. Texts get seen within minutes; emails get seen later.
What Not to Include in Game Day Messages
- Coaching strategy and tactical previews (nobody reads it)
- Long motivational speeches (save it for pre-game in person)
- Passive-aggressive notes about attendance ("It would be great if everyone could show up on time for once...")
- Reminders about unrelated program business (put that in a separate message)
Handling Last-Minute Changes
The game day message sets the expectation. Any change from it requires immediate re-notification.
Field change protocol:
- Text the group chat immediately
- If within 2 hours of game time, personally call athletes you know don't check their phone
Cancellation protocol:
- Text by the previously-stated weather decision time
- Follow up with email confirmation
- If rescheduling is known, include that information immediately
The most irritating experience for a parent: arriving at a field to find the game was cancelled or moved without notification. One clear system prevents this entirely.
